The Project:
Provide a Make automation solution to monitor client eSignature responses from a legacy third party CRM with limited integrations, and then update client status in Monday CRM and notify intake team.
The Tools:
- Make
- Monday
- Postmark
- Legacy Third Party Vendor
The Solution:
Identify unique patterns in eSignature emails. Set up a Postmark API to monitor these emails and upon a successful pattern match, trigger the Make scenario. When the scenario is triggered, depending upon the match, it is routed to the appropriate path.
SENT PATH
The first path confirms the email has been sent, extracts unique identifiers and queries the Monday CRM. The client status is then updated to "email sent" and a note detailing a time stamp and a copy of the email sent are added to the CRM and the intake coordinators are notified.
SIGNED PATH
The second path confirms the email has been signed, extracts the information from the email and queries the Monday CRM for the client. The client's status is then updated with a copy of the email sent and a timestamp of this and a notification is sent to the intake coordinator. The signed status column is also tied to a Monday CRM automation to then move them out of the intake flow and into the signed board.
The Result:
This automation let a key eSignature capability from the legacy CRM carry over into the new system, avoiding the cost of licensing a separate eSignature platform—a five-figure annual expense based on comparable tools.
